Main purpose of the Job:
- To ensure that ledger postings are done on a regular basis, ledger accounts are reconciled on a monthly basis and that reports are produced in a timely and accurate manner
Specific Responsibilities:
- Post all transactions into the ledger and ensure accuracy of postings into the right ledger code, analysis code is maintained;
- Validate all payment vouchers to ensure that correctness of invoices in terms of arithmetical accuracy and other necessary checks after their preparation has been initiated before forwarding for further processing;.
- Reconcile bank accounts for all project accounts, latest by 5th of the following month;
- Prepare reconciliations for all ledger accounts, particularly the imprest, staff account, housing advance and ensure that recoveries/refunds are made without delay.
- Prepare manual adjusting journals and ensure they are adequately supported, reviewed and approved by the relevant authorities and ready for posting into the ledger;
- Maintain staff advances, imprest ledgers and other debtor ledgers on the database (Sun System) and print out the same on a monthly basis for posting and circulation, as reminders to concerned staff and other debtors.
- Conduct weekly verification of the receipt register to ensure timely and accurate entry into the system of cash deposits and cheque receipts;
- Extract monthly trial balances for each project accounts by the 5th day of every month and undertake budget comparison for presentation and review on the 6th of every month;
- Perform any other duties as assigned by Management
Minimum qualifications and experience
- Diploma in Accounting/Business Administration.
- Must possess Part II of professional Accounting Qualifications
- Minimum 5 years relevant working experience, one of which should have been in writing books of accounts.
The ideal candidate should have good Communication, interpersonal, and report writing skills.
S/He must be a team player and demonstrate proficiency in application of spreadsheet and database accounting; working knowledge of computerized accounting systems, experience in handling donor funds and knowledge of sun system will be an added advantage;
Terms and Conditions of Service
These positions are DFID funded, and are non established positions whose contract terms are limited to the period of support, and may only be renewed subject to extension of the funding.
Attractive consolidated remuneration packages for non-established fixed contract positions will be paid in accordance with the EAC regulations on short term Staff contracts.
