Temporary Account Assistant – Research Department
Established in 1988, African Economic Research Consortium (AERC) is a premier capacity building institution in the advancement of research and training to inform economic policies in sub-Saharan Africa.
AERC’s mission rests on two premises: first, that development is more likely to occur where there is sustained sound management of the economy; second, that such management is more likely to happen where there is an active, well-informed cohort of locally based professional economists to conduct policy-relevant research.
AERC builds this cohort through a programme that has three primary components: research, training, and policy outreach. The organization integrates high quality economic policy research, postgraduate training, and policy outreach within a vast network of researchers, universities, and policy makers across Africa and beyond.
AERC is seeking to fill the position of Temporary Account Assistant.
This position will be for a period three months to support the Programme Administrator for Research on the following accounting related assignments.
· Guided retrieval and filing of Research individual and institutional grants, payments, expenditure accounting documents and relevant correspondence.
· Assist with the verification and reconciliation of awarded grants, payments, and accounting documents surrendered to facilitate processing of payments due.
· Assist in the preparation of relevant documents in readiness of the institutional audit in May 2023.
· Assist with the development and update of the proposed internal document repository portal for document sharing henceforth.
· Assist in other document related duties in the department requiring attention in the period.
· The temporary accounts assistant will ensure that all outstanding grant accounting documents are verified and assist in processing the payments due.
· She/he will also ensure the institutional and individual grants and supporting documentations are up-to-date, thus enhancing stakeholder’s satisfaction as well as minimize risk exposures that might raise potential audit queries.
· Assist in setting up and archiving electronic documents to one drive/share point for easy retrieval.
· Assist in preparation of the audit process through document retrieval, updates and reporting.
· Assist in updating all the sub grantees files with the necessary information and keeping them up to date.
· Prepare and update key grantee accounting documents and verification in the Research department.
· Assist in vendor reconciliation, grants reconciliation and gathering data relevant for donor reporting as requested.
· Maintain specific donor related statistics as requested.
· Undertake any other duties/responsibilities that may be assigned to him/her by the Programme Administrator.
Qualifications and Experience
· A Bachelor’s degree in Accounting/Commerce or Business-related discipline.
· Must be a CPA (K)/ACCA holder.
· Must have 3-4years relevant experience in an NGO environment.
· Excellent skills in Microsoft Office Suite (excel skills a MUST).
· Working experience with ERP’s preferably Microsoft Dynamics Navision.
· Extensive experience in dealing with donor funded projects (DFID, SIDA, AfDB).
