Job Title: Sales Administrator
Reports to: Sales Administrator Manager
SUMMARY
Assist in administering all duties and projects that come under the responsibility of the sales
department.
KEY RESPONSIBILITIES
QUOTATIONS
a. Process requisitions submitted with clear and unambiguous specifications through the quotation
process and goods/service delivered/rendered
b. Ensure that the work you are quoting for has clear requirements - in terms of time, labor,
materials,
c. Use a standardized price list
d. Ensure that your costs are stable
e. Ensure signed acceptance of your estimate and make sure your customer is clear about what
has been agreed.
WRITING TENDERS
a. Upon consultation determine which tenders to bid, and how you will manage the bid
b. Gather information and research with assistance from relevant departments
c. Co-ordinate all the materials you need for the tender preparation
d. Prepare a covering letter that responds to the bid invitation
e. Allocate the people who will actually work on the business if you win it, and include their CVs in
the tender document if required
f. Ensure tenders are delivered on time
g. Draw up tender documents or contracts
FOLLOW UPS
a. Follow up to completion and ensure the company gets business
b. Organize demonstrations by coordinating between the technical team and the client
c. Ensure continuous follow up on proposals to ensure continuous flow of business
d. Handle all correspondence and organize contact between the sales executives and their
customers
RECORD KEEPING
a. Ensure records are accurate and written in a professional manner
b. Maintain customers‘ records
OTHER RESPONSIBILITIES:
a. Effective liaison between technical and customer service departments in ensuring compliance to
the client expectations.
b. Provide required reports at the agreed frequencies and intervals
c. Take part in training designed by the company as well as ensure information flow sharing with
other staff
d. You will offer customer advice on Information technology solutions
KNOWLEDGE AND SKILLS
1. Degree in Business Administration, Computer Science or Information Systems preferred/ Higher
Diploma in Sales & Marketing
2. Proficiency in Microsoft Office
3. Strong product knowledge
4. Technical background
5. Knowledge of administrative procedures
6. High levels of professionalism, enthusiasm, and a “can do” attitude
7. Ability to prioritize requests effectively and efficiently and work with a sense of urgency
8. Ability to work with a significant attention to detail and thoroughness
9. Strong interpersonal skills; ability to work with diverse groups
10. Must be able to effectively handle stressful situations
11. Proactively focus efforts and energy on successfully attaining goals and objectives, assuming
accountability for decisions, actions, and results. Follow issues through to completion
12. Demonstrated ability to provide timely and effective written, oral, and interpersonal
communication
