Job Description
Under the general supervision of the Project Manager and the project Engineers, the Project Assistant will perform administrative support functions, which may include clerical work such as personnel, finance, registry, and procurement.
The Project Assistant will perform the following specific duties:
Duties and Responsibilities
Assist in the preparation of progress reports and financial reports on the projectProcess and maintain accounting documents including but not limited to Accounts Payables, payroll and billings.Exchange of official correspondence related to the project activitiesAssist in the development of project work planMonitor project budget in terms of expenditures according to the work planPrepare documentation for discussions and briefing sessionsArrange appointments for supervisor, receive visitors, places and screen telephone callsRespond to routine requests for information and assist in making travel arrangements for project personnelAssist the team with the tracking and issuing of project documents Oversee all office equipment and ensure equipment is functional at all times, maintain office filing system, prepare minutes of the meetings.Interpretation and processing of entitlements, issuance of contracts and maintenance of various personnel records and files.Track and maintain records of employee training, certifications, resumes Understands and complies with client policies and procedures.Understands and complies with local regulations and lawsCollect, register and maintain information on project activities by reviewing reports and through first hand sources.Liaison to HR department and maintain onsite employee files.Undertake other assignments delegated by the Project Manager. University degreePractical experience in similar positions/projectsMinimum of 3 years work experience in project management and/or public administrationGood knowledge of English, Computer skill, good knowledge of MS Word, Excel, PowerPoint, e-mail and Internet
