Kenya: Human Resources Officer

The Human Resources Officer is responsible for providing professional support in the various human resource functions, which include recruitment, training and development, managing the employee database, computing HR metrics and in employee welfare activities amongst others.


Main tasks


Recruitment


  • Ensure that accurate job descriptions are in place for all positions;

  • Provide advice and assistance to supervisors on staff recruitment;

  • Prepare notices and advertisements for vacant staff positions;

  • Sorts and reviews resumes as they arrive on a daily basis. Provides a first review of resumes from job applicants;

  • Schedule and organise interviews;

  • Participate in applicant interviews;

  • Conduct reference checks on possible candidates;

  • Coordinate the settling in of new staffs through the allocation of seating space and other official resources as required;

  • Prepare new staff orientations and induction programme on time;

Training and Development


  • Collate training requests from staffs as presented, after the performance reviews;

  • Support employees to identify training and development opportunities;

  • Organise staff training sessions, workshops and activities;

  • Process employee requests for outside training while complying with policies and procedures;

HR Administration


  • Arrange visas, work permits plus any support documentation required for expatriate staffs and visitors;

  • Managing schedules and reports for all contract renewal, evaluation on probation, appraisal feedback as they fall due etc.

  • Process documentation and prepare reports relating to personnel activities (staffing, leave, recruitment, training, performance evaluations etc.)

  • Keeps employee records up-to-date by processing employee status changes in a timely manner and maintains personnel files in compliance with applicable legal requirements;

  • Maintain the HRIS database and generates scheduled or requested reports to assist management;

  • Maintains a database of employee contact information;

  • Management of Leave Schedules, updating and computing leave balances on weekly basis;

  • Primary point of contact for the administration of the staff related Insurance schemes;

  • Coordinate employee visitations and welfare activities; including team building programmes;

  • Provide information and assistance to staff, supervisors on human resource and work related issues.

Additional Responsibilities


  • Actively participate in departmental plans and projects;

  • Carry out other tasks as may be required from time to time for the smooth running of the office;

  • Carry out role-specific responsibility to safeguard children and adults at risk (as guided by CBM’s respective policies) in programmes.

Professional Profile and Requirement


Education, Knowledge & Professional Experience


  • Bachelor’s degree qualifications in human resource management or related discipline; or a Higher National Diploma in Human Resources Management.

  • Minimum 3 years’ experience within a human resources environment

  • Excellent organisational skills and the ability to understand detailed information

  • Maturity to deal with people at all levels of the organisation

  • Demonstrated ability to relate effectively to a diverse range of people

  • Demonstrates excellent organisational and time management skills and meets deadlines with minimal supervision

  • Excellent interpersonal skills to form effective working relationships with people at all levels

  • Ability to analyse, interpret and explain employment law

  • Strong integrity and approachability

  • Ability to compile and interpret statistical data and communicate it in a professional and understandable manner

  • Ability to influence and negotiate to implement personnel policies

  • Cross-cultural awareness

  • Ability to work with initiative, autonomously and as part of a team

  • Ability and willingness to travel as required

  • Willingness to adhere and commit to CBM values and Child Protection Policy
