CAREER OPPORTUNITY: EXECUTIVE ASSISTANT / HR ADMINISTRATOR
Our client, a global leader in providing cleaning, sanitation, and safety solutions in the food service, food and beverage processing, healthcare, and hospitality markets in more than 160 countries globally is looking to fill the position of Executive Assistant / HR Administrator for their East Africa business.
Reporting to the Managing Director, the responsibilities in this role will include:
* Providing administrative support to the Managing Director. This will involve, amongst other duties:
o Managing and coordinating schedules for the Managing Director, including scheduling appointments, meetings, local and international travel, etc and ensuring the Managing Director is kept updated on the status of their schedules.
o Coordinated preparation and timely dissemination of reports and PowerPoint presentations for client proposal and presentations, response to tenders, board meetings etc
o Organizing company events that will be attended by senior level executives from the regional and global office and client representatives.
o Maintaining an efficient filing system and contact database
o Ensuring in the absence of the Managing Director all requests for action or information are relayed to the appropriate staff member and acted upon.
* Representing the Managing Director in various internal meetings, including project meetings and update the Managing Director on progress and ongoing plans.
* Assisting the Managing Director mange the human resource function, including managing all employee files and records, supporting recruitment, training administration, performance management, etc.
* Managing the performance and deliverables of support staff including receptionist, drivers, office messengers and cleaners.
The ideal candidate for this position will have been an assistant of a senior executive in a medium sized dynamic organization who has had experience dealing directly with a global network of executives and clients, and working exposure to human resource management administration. She/he will have a minimum of a College Diploma in business administration or equivalent. The successful candidate for this will demonstrate the following qualities: she/he will
* demonstrate an ability to work independently within agreed upon responsibilities with a minimum of supervision.
* have excellent organizational skills, have strong attention to detail, be good at multi-tasking, prioritizing and dealing with conflicting priorities and strong follow-up skills.
* have strong business writing skills, have excellent communication and interpersonal skills
* be confident, self-assured, with a high level of personal drive, mature in outlook, have a worldly perspective and be presentable
* be computer literate, highly proficient in Microsoft Office suite, particularly Word, Excel, PowerPoint and Outlook or any other internet software
Remuneration: the salary offered for this position will be between Ksh 60,000 and 75,000 plus benefits, and will be dependent on the experience and contribution of the successful candidate.
