The Receptionist is the initial company contact with visitors. The incumbent will be responsible for providing administrative support to ensure that organizational services are provided in an effective and efficient manner.
Maintain the telephone switchboard and direct telephone calls to the desired staffMaintain accurate record of incoming and outgoing calls and visitorsReceive customers visiting the organization and direct them to the relevant officersEnsure that all the queries at the front desk are handled effectivelyCoordinate communication flow between staff members, visitors and within the departmentsQualifications, Experience and knowledge:A Diploma in Business studiesAt least 3 years’ experience in a similar function. Good knowledge of office administration in a busy officeGood MS Office skills Excellent communication skills Reporting to the Directors, the Secretary provides secretarial, organizational and administrative support to ensure that services are provided in an effective and efficient manner.
Coordinate and facilitate the Directors’ diaries for meetings, appointments and conferencesPlan and coordinate professional meetings and conferencesFile and register of all incoming communication and circulate what is necessaryType all official correspondence and professional documents for the Directors and the Technical StaffSupervise a pool of staff Receiving visitors and calls, determining the priority matters, and providing alert messages to the Directors accordinglyQualifications, Experience and knowledge:Background knowledge in an architectural firmA diploma in secretarial studies and/or administrationAt least 3 years’ experience in a similar function Knowledge of administrative and clerical proceduresGood knowledge of MS officeInterested candidates are requested to forward their updated CVs to recruit@virtualhr.co.ke by 26th January, 2013 stating their current and expected remuneration, day time telephone contacts and addresses of three referees.
