Project Manager, East Africa | ReliefWeb

Scope of work:



Integrity is hiring a Project Manager to develop and support its growing delivery portfolio in East Africa. The Manager will be based in London or Nairobi with travel within the region. The Manager will focus on high quality project delivery, client relations, proposal development, team management, quality assurance and methodological development. They will work flexibly across Integrity’s different services and directorates.



Terms of reference:



A. Project Management (60%)



  • Manage Integrity’s overall delivery of projects in East Africa.

  • Manage team of international and national consultants conducting monitoring, evaluation and research in East Africa, including South Sudan and Somalia.

  • Oversee contractual process for all project personnel, ensuring all team members have a terms of reference/scope of work and understand their obligations on Integrity projects in East Africa.

  • Liaise with clients on contract management, ensuring overall compliance with the budget and deliverables. Maintain good communications with clients on project progress, risks and finances.

  • Conduct Quality Assurance of all project outputs delivered by Integrity.

  • Provide ad hoc technical input and support project teams, as needed.

  • Provide technical inputs, in a technical assistance role, including site visits as and when required.

  • Provide regular project updates to Director Services, based in London.

B. Project Financial Management (10%)



  • Coordination of financial reporting activities with consultant, sub-contractors and suppliers, ensuring timelines for programme invoices and project expenses are met.

  • Prepare project expense reports in line with client and corporate requirements, documenting and storing receipts and invoices in hard and soft (Podio, document management system) copy, and updating relevant trackers on a continuous basis.

  • Prepare client and company monthly invoicing forecasts, analysing likely labour inputs and project expenses each month.

C. Operations and Logistics (10%)



  • Administering operational processes relating to regional and international deployments ensuring duty of care processes are applied and maintained in consultation with Operations Manager, based in London.

  • Coordinate all logistics for project personnel traveling to and within East Africa, e.g. flights, visas, hotel, airport transfers, etc.

  • Maintain the Company Travel Tracker, ensuring all information is properly recorded and notifying all relevant parties to developments or changes.

  • Ensure international personnel (staff and consultants) working with Integrity are given an orientation prior to and upon arrival in the region, making arrangements for meetings with key personnel and the provision of equipment.

D. Proposal and Business Development (10%)



  • Support efforts to identify new business opportunities in East Africa.

  • Contribute to the development of bids for new work in East Africa, including writing technical and commercial proposals.

  • Identify new consultants for the region with the appropriate technical and management skills to deliver Integrity’s growing portfolio of work.

  • Conduct interviews with shortlisted consultants to assess competencies, build their profile and establish areas of collaboration.

E. Thought Leadership and Learning (10%)



  • Understand, monitor and disseminate new agendas and trends from Integrity delivered projects and from the wider sector. With a particular focus on contribution analysis, third-party monitoring, conflict sensitive indicator development, quantitative monitoring, impact assessments and learning.

Experience:



  • Minimum five (5) years’ experience working in international environments, ideally in Horn of Africa region.

  • Strong project management background, including the coordination of prime contracts, with responsibilities in operations, logistics, finance, and/or administration.

  • Background in health, governance or conflict would be an advantage.

  • Experience of working in FCAS environments desirable.

  • Experience of security and risk management is desirable.

Competencies:



  • Demonstrable technical skills in risk management, logistics, IT, finance and admin.

  • Experience of research, monitoring and evaluation projects/programmes is desirable.

  • Excellent communication skills.

  • Proven writing aptitude.

  • Ability to work in a team and actively contribute to discussion.

Languages:



  • Written and oral fluency in English.
