Our client, a major player in the Coffee industry is looking to hire an Administrator to support the Company Directors and the Company Secretary. Reporting to the Managing Director, the Administrator will provide efficient administrative support for the Company.
KEY RESPONSIBILITIES:
The main responsibilities in this role include to:
MD Office Management
* Manage the MD office – respond to enquiries and correspondence both telephone and written directed to MD screen and redirect the mail and follow up with the relevant manager to ensure no incoming mail is unattended
* Draft correspondence for MD’s signature, and file of all documents and correspondence to and from the MD’s office
* Manage the stationary requirements and oversee the cleaning of the MDs office.
Meeting Management
* Plan the annual office calendar with the MD at the beginning of each year and revise as required.
* Managing the MD’s diary. Review the diary with the MD each morning to agree priorities for the day and reconfirm appointments / meetings. Follow up to reconfirm with all concerned parties and manage the logistics and refreshments for the meetings as appropriate.
* Take minutes of meetings as requested
* Organize and schedule events as requested with the Board of Directors, employees, suppliers, customers, etc,. and make timely arrangement for and provision of logistical including travel, transport, parking, refreshments, etc.
Reports & Presentations: Prepare reports and presentations on behalf of the Managing Director as requested.
Projects: Undertake projects as directed by the Managing Director.
Travel: Coordinate the Directors travel requirements, i.e. issue taxi vouchers, flights, hotel accommodation, etc.
Management of Staff Records: Maintain all personnel files of employees
REQUIREMENTS:
The position is a very hands-on role, requiring a highly motivated, independent, individual with at least 2 years working experience in office administration providing administrative/secretarial support to senior management. The ideal candidate will be an organised, reliable and approachable individual with unquestionable integrity. He/she will have excellent communication and interpersonal skills with the ability to maintain a high level of confidentiality.
The successful candidate will be diplomatic in his/her approach with the ability to remain calm under pressure, deal with conflicting priorities and resolve issues amicability and decisively. She/he will be computer literate, highly proficient in Microsoft Office, particularly Word and PowerPoint
The salary for this position is KShs 45,000 gross per month.
