Reporting to the Finance & Grants Manager, the incumbent will manage financial transactions involving general funds, grants, contracts and/or gift accounts. He or she will be responsible for carrying out project financial planning and cost analysis and analyze financial data to ensure efficient use of resources and compliance with organization and/ or development partner regulations and restrictions.
The position holder will be based in Nairobi.
Main duties shall include, but are not limited to the following:
Financial processes
• Sit as member of the finance team and assist the Finance & Grants manager with internal financial processes
• Optimize resources
• Document and maintain complete and accurate supporting information for all financial transactions
• Develop and maintain financial accounting systems for cash management, accounts payable.
• Manage the cash flow and prepare cash flow forecasts in accordance with policy
• Make payments for the financial obligations of the organizationBudgeting
• Budget for the financial needs of the organization according to its strategic plan
• Ensure proper budget implementation
• Control budgets to ensure a 4% variance
• Defend budget for potential bidsFinancial reporting
• Prepare financial reports as required for board meetings and the Annual General Meetings
• Provide financial reports and provide advice to support the decision making processes
• Develop and maintain timely and accurate financial statements and reports that are appropriate for the users and in accordance with generally accepted accounting principles (GAAP).
• Ensure that all statutory requirements of are met
• Review monthly results and implement monthly variance reporting as compared to budgetFinancial compliance
• Develop, implement, and ensure compliance with internal financial and accounting policies and procedures
• Ensure compliance to donor regulations
• Oversee compliance o grantees in a timely manner
• Ensure compliance to legal provisions as outlined in the Kenyan laws relating to financesAudit and audit processes
• Prepare all supporting information for the annual audit with the approved external auditor
• Review all supporting information for authorized transactions
• Reconcile bank accounts and manage cash flow
• Manage the bookkeeping function using the Simply Accounting Package
• Maintain the general ledger, accounts payable and accounts receivableOthers
• Develop and implement policies and procedures as required to ensure that the human resource and financial information is secure.
• Ensure minimal budget variance and financial procedures are adhered to.
• Ensure all suppliers and service providers are paid and all bills settled on time
• Ensure that all procurement procedures and policies are adhered to
• Prepare monthly financial projections for activities
• Prepare budget forecasting, preparation, and ensuring that the budgets are adhered to
• Ensure petty cash and working advances are well accounted for
• Reconcile debtors and creditors on a monthly basis
• Ensure grants received or paid out are recorded and accounted for accurately and promptly
• Making financial reports including quarterly management reports for strategic decision making
• Prepare reimbursement invoices and send them to the donor for payment
• Support in facilitating the internal and external audits
• Prepare and maintain a fixed asset register
• Perform any other duties that may be allocated by the supervisor from time to time
Academic Qualifications:-
- Bachelor’s degree in Finance/Accounting or other business related degree
- Be a qualified Accountant with CPA (K) or Finalist or ACCA graduate is mandatory.
- Excellent computer knowledge in Microsoft Navision, Quick books, and Microsoft Operating Software (MOS) is a must.
Experience and Personality Desired:-
- At least three (3) years relevant working experience.
- At least two years working with a corporate.
- Good written and spoken English.
- Keen on details with high level of initiative
- A hard working individual willing to put in extra hours of work when need arises
- Capable of working with minimal supervision
