INTRODUCTION
Habitat for Humanity Kenya (HFH Kenya) is a national non-profit organization that begun its operations in 1982 as an affiliate of Habitat for Humanity International. The affiliation is guided by a National Affiliation Agreement (NAA) and a Memorandum of Understanding (MOU). HFH Kenya’s vision is: “A nation where every family has a decent place to live.” Mission: “Seeking to put God’s love into action, Habitat for Humanity Kenya brings people together to build homes, communities and hope”. Our overarching goal is: “Enabling low income families access decent and affordable shelter”.
JOB PURPOSE.
Reporting to the National Accountant and functionally to the Finance and Operations Manager the position holder will be responsible for offering accounting services to the organization and ensuring that all financial resources that come into the organization are recorded, tracked, and accounted for and used in fulfilment of the core mission of the organization of building and renovating houses that ensure families live in decent houses and decent communities.
DUTIES
- Assist National Accountant in preparation of supplier’s payment and ensure correct codding of expenses to correct ledger account, donor budget lines (DBLs) and project codes.
- Ensure accuracy in uploading/recording of journals into the financial Management System for review and posting by Finance and operations Manager.
- Management of petty cash and ensure timely disbursement and replenishment of the petty cash as per the policy.
- Maintains current knowledge of local government financial accounting regulations and ensure compliance with tax regulations and other legal requirements.
- Ensure the implementation of all internal control processes and applicable donor requirements in all disbursements and transaction.
- Support in reporting and tracking of expenses and revenue for projects such as Foster Family Foundation etc.
- Participate in the development of the annual budget and ensure that the National Office office is spending according to budget through preparation of monthly budget versus expenditure analysis.
- Assist National Accountant in conducting the month-end and quarterly end close process, including consolidation of project accounts, reconciliations, revaluation, and preparation of financial statements.
- Advise non finance team and implement financial policies and procedures while promoting best practices in all accounting activities.
- Ensure standards for documentation; including forms, support documents and procedures for retention of documents including proper and systematic filing are observed both physical and e-filing.
- Assist in the preparations for the year-end audit and Project audits including providing all necessary documents.
- Perform any other duties as directed by your supervisor.
KEY PERFORMANCE MEASURES / INDICATORS
- Timely preparations booking of transactions into the Sun System.
- Timely replenishment of the petty cash and Petty Cash Reconciliation.
- Timely filing and payment of statutory returns e.g Withholding tax etc
QUALIFICATIONS
- University Degree in Accounting, Finance, Commerce, or Business Administration with minimum of CPA Part I or
- Certified Public Accountant Kenya Part III Graduate (CPA K)
KNOWLEDGE, SKILLS & ABILITIES REQUIRED
- In-depth understanding and proficiency in the use of accounting systems particularly SunSystems, Microsoft Dynamic Navision, QuickBooks etc.
- Ability to train and support field program staff in accounting matters
- Good communication skills, both written and verbal English and National Language
EXPERIENCE
- At least 3 years and above of middle level working experience in a busy accounting environment in an NGO or Not-For-Profit sector.
