Requirements for
Appointment
For appointment to this
grade an officer must have:
- Business Education Single and Group Certificates (BES &
GC) Stage I, IT and III from the Kenya - National Examinations Council in the following subjects:-
- Typewriting III (50 w.p.m)/Computerized Document Processing
11; - Business English II/Communications I;
- Office Practice II;
- Secretarial Duties II;
- Commerce II;
- Office Management III / Office Administration and Management
III
OR
- Craft Certificate in Secretarial Studies from the Kenya
National Examination Council; - Served in the grade of Office Administrative Assistant [
Grade 4 or in a comparable position for a minimum period of three (3)
years; - Certificate in computer applications from a recognized
institution; and - Demonstrated merit and ability as reflected in work
performance and results.
Duties and
Responsibilities
- Taking oral dictation;
- Data processing;
- Preparing responses to simple routine correspondence;
- Managing e-office;
- Operating office equipment;
- Attending to visitors/clients;
- Handling telephone calls and appointments;
- Maintaining office diary and travel itineraries;
- Ensuring Security of office records, equipment and documents,
including classified materials; - Establishing and monitoring procedures for record keeping of
correspondence and file movements; - Managing office protocol and etiquette; and
- Supervising of office cleaning.

- Be employees of Kibabii University on Permanent and
Pensionable Terms for Administrative staff; - Be employees of Kibabii University either on Permanent &
Pensionable terms or Contract Terms for Academic Staff; - Have served in their current grade for a minimum period of
three (3) years; and - Apply for only one (1) grade above their current grade.
ONLY Kibabii University
staff on permanent and pensionable terms and contract terms are required to
