To provide overall logistics support for Somalia/Somaliland programmes in the ethical and efficient and cost-effective logistical functions
Procurement and Vendor/Supplier Management
- Efficient and effective procurement or purchase of goods and services
- Review supplies and quote requests to ensure that they have proper specifications
- Draft tender documents or quote invites for review by Line Manager and subsequent dissemination
- Analyze quotes received and make recommendations on which suppliers/Vendors to use
- Raise LPOs for the approved purchases based on value for money
- Monitoring to ensure that all orders for the delivery of goods and services meet standards
- Provide regular feedback to all locations on the status of the SRs
- Maintain all documentation related to the procurement process including collating all documentation required for processing payments
- Manage Concern’s relationship with all the vendors/suppliers including ensuring prompt payment for services rendered and goods received
- Maintain an up to date price list, product catalogue and list of preferred and potential suppliers for various goods and services
- Ensure compliance with Concern and other donor Logistics, Procurement, ICT and Transport policies, procedures and guidelines including undertaking vendor audit, supplies appraisal and advising on areas and measures for improvement
Transportation and Customs Clearance
- Ensure that goods are transported properly packed and labeled to their destinations in the most efficient and effective manner with clear goods Delivery Notes
- Customs clearance for goods arriving in Nairobi
- Establishing and maintaining contacts with Clearing Agents
- Tracking all purchases in transit to Marsabit from Nairobi Office and advising requesters appropriately
- Review customs documents for goods being exported for accuracy and feedback and/or advise on areas for improvement
- Plan and oversee loading/offloading of goods
Facilities Repairs and Maintenance
- Coordinate the repair and maintenance of Concern assets and premises.
- Provide regular reports on all repair and maintenance services
