Open Vacancy: Fuel Assistant – GL5

Responsibilities:
Under the supervision of the Chief Fuel Officer, the Fuel Assistant will perform the following duties:
- assist in timely planning, coordination and effective provision of ground fuel, aviation fuel and lubricants;
- keep computerized records of all received and issued POL products and enter information into fuel data base and MEFAS;
- review and analyze fuel returns and database records for correctness and discrepancies;
- assist review and monitor existing requirement for POL products (for vehicles, aircraft, generators;
- Assist analyze POL product consumption pattern;
- ensure environmental policies are adhered to including fire and safety standards;
- ensure bulk fuel receipts undergo quality assurance checks-ensure daily testing of aviation and ground fuel;
- ensure
morning and evening verification of fuel stocks, ensure strict
accountability of all fuel stocks, daily functional/safety inspection of
all equipment including containerized refueling station (CRS), fuel
tanks, fuel pumps and fuel testing equipment; - ensures contractor’s fuel equipment is maintained and calibrated and records maintained;
- inspect fuel points on weekly basis;
- assist with the technical evaluation proposals;
- be a member of site board meeting for fuel site establishment and monitor mobilization and construction of sites;
- receive, process request for visa, F1 document, contractor’s ID card and book keeping;
- verify original invoices submitted by POL Supplier for payment;
- ensure all financial and procurement rules and regulations are adhered to when processing payments;
- liaise
with procurement, contract management and finance sections to ensure
timely settlement of invoices and recovery of funds where required; - maintain accurate record of POL accounting data on electronic files, databases and on regular files;
- produce reports on status of outstanding requisitions, paid or outstanding invoices, payments and related details;
- manage incoming/outgoing correspondence, ensuring that correspondence is logged and appropriately delegated;
- perform other duties as required
Qualifications:
Education: Minimum of secondary education certificate
Experience: Five (5) year experience in fuel supply management
Languages Skills: English and French are the working languages of the United Nations. For the post
advertised, fluency in oral and written English is required
