General Purpose
Perform a wide range of administrative and office support activities for the office and to facilitate the efficient operation of the organization.
Main Job Tasks and Responsibilities
answer, screen and transfer inbound phone callsreceive and direct visitors and clientsgeneral clerical duties including photocopying, fax and mailingmaintain electronic and hard copy filing systemretrieve documents from filing systemhandle requests for information and dataresolve administrative problems and inquiriesprepare written responses to routine enquiriesprepare and modify documents including correspondence, reports, drafts, memos and emailsschedule and coordinate meetings, appointments and travel arrangements for managers or supervisorsprepare agendas for meetings and prepare schedulesrecord, compile, transcribe and distribute minutes of meetingsopen, sort and distribute incoming correspondencemaintain office supply inventoriescoordinate maintenance of office equipmentcoordinate and maintain records for staff, telephones, parking and petty cashBachelors degreeAt least 3 years experience in a similar positionknowledge of operation of standard office equipment.knowledge of clerical and administrative procedures and systems such as filing and record keepingknowledge of principles and practices of basic office managementcommunication skills - written and verbalplanning and organizingprioritizingproblem assessment and problem solvinginformation gathering and information monitoringattention to detail and accuracyflexibilityadaptabilitycustomer service orientationteamworkOnly those who meet the requirements will be contacted.
Expected Remuneration: Ksh 30,000pm
