Proffesional Education Specialist at Johnson & Johnson

Overall Purpose of this Job:


The Professional Education role is responsible for setting and overseeing proper implementation of all Education processes pertaining to internal & External Education, covering both Local & International education activities across the MISSA region, ensuring flawless and compliant execution.


Key Responsibilities are:



  • HCC Support for SSA & Iran for regional & international events for Prof.Ed. and local operational marketing activities.

  • Logistics management for all SSA & Iran events (local/international Prof-Ed, congresses, local training, etc) in terms of flight, accommodation, transfers, visas, etc for all sponsored HCPs.

  • Follow-up on design and production of marketing material.

  • Follow up on invoices and all procurement process.

  • Follow up with Kenya distributors on promotional budgets, and regular updates on actual spends versus target.

  • Be the event management owner of yearly Professional Education calendar executions by specialty needs requested by each BU for Medical device.

  • Streamlined and effective execution of prof Ed events (sponsorships) on Logistics & effective Management of complications, issues, crisis due to cancellations, missed flights, Visa changes etc.

  • Work closely with the Prof Ed managers to execute flawlessly educational programs tailored as per the market needs.

  • Follow up and implement prof-ed processes: Prof Ed Dashboards, Surveys, registration via CVENT , SOPs/Check lists and Course in a box.

  • Liaise with Prof-ed Manager on EMEA forecasts and support to follow up with local teams ensuring that the Region enrolled in EMEA offerings as per the region’s needs.

  • Effective utilization of resources including best pricing and offers available to run logistics.

  • To submit all faculties HCC requests through HCC life by ensuring & overseeing that full HCC documentation is completed by HCC officer.

  • Ensure each step-in place for HCPs Registrations, Hotel Accommodation and Transfers, Invitation Letters, Visas, Tickets, Branding, Course dinner arrangements, Materials arrangements, Advance Invoice payments.

  • Handling the payments process for all suppliers through Ariba/E-marketplace System with all HCC documents, Fee for Service Payments, Intercompany PO Submissions, Budget Spending, and Cross-Charge to Distributor’s.

  • Effective tracking and communication of summary sheet committed and spent.

  • Efficient filling & updating of Prof Ed Curricula data base, Trainers database & COE database

  • Effective tracking & updating of EMEA Dashboards.

  • Collaborate and liaise with EMEA ProfEd team and with EMEA ProfEd event management and customer experience teams.

  • Support testing, monitoring and auditing of the HCC program as needed and implement corrective actions as required.

  • Work closely with ProfEd Manager to track NSSC activities to use the center for all region efficiently.

  • Digital lead for Prof. Ed. tools for online platforms one-force, JJI tailored learning and simulators digital leaning.


Contract Management / Payments:



  • Provide guidance, solutions and approvals for OneMD contracts.

  • Ascertain full justification and alignment with business strategy for contracts.

  • Draft contracts using a legal approved template.

  • Liaise confidently and transparently with HCPs on all contractual and payment matters.

  • Ensure that appropriate Evidence of Service documentation is obtained for HCP payments.

  • Process HCP payments and recharges in a timely fashion.

  • Guide and advise local markets on the approval process of requesting the use of EMEA contracts.


General:



  • Maintain all necessary documentation relating to all stages of the process (auditable).

  • Lead work streams or other projects agreed on their development pathway.

  • Ability to communicate and collaborate with Internal & External teams.

  • Act as the key point of contact for all stakeholders in relation to all event compliance, HCP contractual and payment matters.

  • ensures timely PR & PO reconciliation process in close collaboration with Finance team and business partners in the region.

  • Proactively identify business risks and opportunities to continually improve efficiency and effectiveness.

  • Ensure events adhere to Health Care Compliance guidelines and that all contracts are fully executed in time for services.

  • Enhance the Professional Relations status by accepting ownership for being customer centric and solutions orientated.

  • Be transparent with all aspects of non-compliance.

  • Challenge the status quo.


Qualifications

Required:



  • Bachelor’s degree – Major in Marketing and Administration is an advantage.

  • Minimum of 3 years’ experience in events management or similar role.

  • English: fluent written and spoken.

  • French is an advantage.

  • Excellent communication interpersonal skills.

  • Excellent organization skills.

  • Interdependent partnering ability.

  • Outward Looking-Customer centric.

  • Strong computer skills.

  • Results-oriented.

  • Team-player.

  • Computer: MS Excel, Word, Outlook.

  • Travel maybe required.
