JOB PURPOSE
- The Talent Acquisition Associate will provide recruiting and sourcing support to the Talent Acquisition (TA) team which will ultimately contribute to the team’s effectiveness and improve key talent acquisition metrics such as time to fill. His/Her tasks will include but are not limited to
- support screening of applications
- interview scheduling
- job posting and advertising and
- assist in developing talent pipelines for assigned portfolios, including easy to fill, hard-to-fill and mission-critical roles.
- The person who takes on this role has a strong interest in a career in Talent Acquisition and will be groomed to fill a Recruiting or Sourcing Specialist or HR vacancy in future. The person can expect to receive continual learning and coaching while serving in this role.
KEY RESPONSIBILITIES
Recruiting and Sourcing Assistance
- Detailed screening of candidates, including rank-ordering, to save recruiters time.
- Sourcing for quality candidates, align candidates.
- Support collecting email references for candidates as requested by the Talent Acquisition/HR team.
- Professionally handle confidential and sensitive information to ensure candidate anonymity.
- Serve as an articulate and knowledgeable professional to engage potential candidates and referral sources.
- Respond to candidate inquires both by phone and e-mail.
- Generates monthly customer satisfaction surveys reports as needed for the TA team.
Maintain Internal and External Talent Pipelines
- Gather information from shortlists, interview performance feedback, talent review meetings and leadership development meeting debriefs on potential candidates to be added onto the talent pipeline. This will include making recommendations to the Recruiter on which candidates should be considered for future roles.
- Knowledge Cataloguing and Management; able to quickly identify viable candidates from past searches, saving recruiter time in developing a candidate list for a role.
- Screening applications from the dummy advert, including potential candidates in the pipeline.
- Profiling keys grants/BD roles that will be included in the dummy advert and develop a pipeline that can fill the positions as per the timeline given.
Administrative Support
- Receive recruitment requests once they are fully approved and with the guidance from the Senior TA, support the next steps as appropriate/advised.
- Maintain and update the recruitment tracker regularly as agreed with the team.
- Ensure smooth transition of new hires by sharing contracts, and offer letters and ensuring that all interview documents are in the personnel file.
Other Duties
- Successfully cover for the Talent Acquisition Officer and/or Senior Talent Acquisition Officer when they are on short-term leave without tasks falling through the cracks.
- Other duties at the discretion of the supervisor to assist in team projects as needed.
Requirements
Required Professional Experience and Qualifications
- Bachelor’s degree in Human Resource, Business Administration or equivalent
- 1-3 years of relevant experience in HR administration in a busy environment
- Knowledgeable on Talent Acquisition processes and policies
- Good understanding of Applicant Tracking Systems (ATS)
Skills and Competencies
- Ability to develop rapport with candidates and referral sources
- Ability to multi-task projects and priorities in an organised and adaptable manner
- Professionally handles confidential and sensitive information and inquiries, both verbally and in writing
- Excellent communication skills, both written and oral
- A great team player with a passion to learn
- Demonstrated skills of empathy in handling internal and external clients
- Excellent organizing, planning, implementing and coordinating skills
- High attention to detail
- Experience in Microsoft Office Suite i.e. Word, Excel, PowerPoint, MS Teams and other tools such as Zoom, Qlik etc.
