Brief Description:
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office with diverse peoples and programs.
The ability to interact with staff at all levels in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
Scope
The Executive Assistant will have 5 or more years experience in supporting management at the executive level with excellent calendar management skills, including the coordination of complex executive meetings.
He/she will be experienced in the creation PowerPoint presentations for the executive office and have sharp verbal and written ability. Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook is a prerequisite for this job.
Key Job Tasks
Take initiative in Managers absenceKeep management projects, workflows and assignments on scheduleTo compile correspondence and reports on behalf of the CEO as directed.To prepare, proof read and edit all outgoing correspondence for own or managers signature e.g. letters, proposals, press releases.To prepare the Chief Executive for all internal and external meetings i.e. research/briefings on organizations and individuals.Manage the Chief Executive's workload and act as gatekeeper and follow up meetings and external contacts.Prepare meeting agendas and act as secretary to executive meetingsProvide research and ground material/literature on various international developments in the industryProvide regular updates on government policies and legislations.Work closely with the CEO to ensure that all assignments, projects and other works are up to date and follow up with managers for regular updates.Be responsible for heavy calendar management, requiring interaction with both internal and external executives as well as consultants and coordinate a variety of complex executive meetings.Communicate and handle incoming and outgoing electronic communications on behalf of the CEOAssist the CEO with preparation of presentation materials.Review and summarize miscellaneous reports and documents and prepare background documents as necessary.Qualified to Degree Level.Five years Experience in a secretarial/Personal Assistant role to the CEO or other senior company executiveWorking experience in the petroleum industry a definite advantageProven track record of successfully managing and coordinating critical work flowsSubstantial experience and a proven track record of delivering continuous improvementHigh level experience in general staff managementExcellent IT as well as organization, writing and interpersonal skillsExcellent innovation and creativity skills
