Scope of Work for Operations Project Support Staff
Background
Strengthening Health Outcomes through the Private Sector (SHOPS) Project is a global five-year USAID-funded project, which aims to expand the role of the private sector, including NGOs and for-profit entities in the sustainable provision and use of high-quality health information, products and services.
SHOPS Project Kenya is partnering with GIZ to conduct a national health care costing study to inform payment mechanisms in both the private and public sector. SHOPS will engage an Operations Project Support Staff to support the logistics and coordination of the costing study.
Scope of Work
The Operations Project Support Staff will be responsible for the following Scope of Work (SOW).Prepare the logistics, including invitations, confirmations and venue; and take minutes at the bi-monthly internal management meetings during the duration of the DCM studyPrepare the logistics, including invitations, confirmation and, venue; and support administration of all the stakeholder consultation workshops Prepare the logistics for, including invitations, confirmations and venue; and rapporteur at the following meetingsreview of the data collection tools, data analysis and reporting framework sampling of facilitiesinternal workshop to finalize all the toolsPrepare logistics for the classroom and field training of data collectors Prepare logistics for the data collectors work in the field and data entry/transfer to the DCM workbook by the StatisticianAssist the Finance and Administration Manager in procurement of the DCM equipment as well as the assignment, management, and retrieval of the equipment with the research assistantsAssist in processing invoices and payments for the vendors and consultants contracted during the studyA higher diploma or degree from a recognised Training College or University Over 2 years’ experience in administration duties and logistics supportExperience in a similar role will be an added advantageAbility to work in a teamExcellent communication skills with ability to express ideas clearly, logically and effectively, both orally and in writing Fluent spoken and written English Computer literacy and ability to use MS Office softwareThe following deliverables will be submitted on a monthly basis:Minutes of the bi-monthly management meetingsMinutes of the internal workshop and meetings for the preparation of the DCM tools and frameworks Monthly timesheets Assignment and return sign-off sheet signed by research assistants when they were given the data collection equipment, and when they returned the fully functioning equipment Work plan or gantt chart of all logistics planning and execution, updated weeklyThe following deliverables will be submitted prior to final payment:
1. Final report on all activities conducted during the Costing Activity
Level of Effort
These activities are expected to take 63 days of the successful candidate’s time.
