Responsibilities



  • Provide Administrative support to the team e.g. manage the front office, activities diary

  • Welcome and receive visitors and ensure clients are satisfied both internal/external

  • Arrange office meetings

  • Working knowledge of MS-Office (Word & Spreadsheets, Internet ,E-mail)

Duties & Responsibilities


  • Effectively manage the Director’s diary

  • Resolve daily administrative and operational issues according to the organizations policies

  • Manage inventory, office and procurement process according to organizations policy

  • Record all financial transactions and liaise with Accountant for confirmation.

  • Manage and prioritize own workload, monitor and allocate work to others effectively

  • Conduct research for the Director whenever required and source for relevant materials online as well as with institutions.

  • Manage correspondence, create clients database, file documents effectively for easy access whenever required and ensure failed systems are repaired e.g. broken equipment

  • Ensure that staff are working in a conducive work environment as desired by the Director

  • Carry out any other duties as may be required by the Management.


Qualifications


  • Bachelor’s degree in a Business related discipline is an advantage

  • Post-graduate Diploma in a Business related course will be considered

  • Excellent Secretarial and book-keeping skills

  • Advanced  and substantial experience in IT Knowledge (MS-Office Package)

  • At least 4 years continuous work experience as a Personal Assistant/Office Administrator supporting a Director

  • Skilled in maintaining confidentiality, security awareness and data protection

Context: Secours Islamique France (SIF) is an international non-governmental organization based in France.



SIF is non-religious, focusing on both humanitarian emergency and development activities that serve the poor and the vulnerable. SIF has been operational in Kenya since 2012.




In Kenya, SIF’s strategy is to provide basic essential services to the refugees in the camps, including Dadaab and Kakuma, and to develop durable solutions for the urban poor, particularly in the areas of Education, FSL, Shelter, and WASH.
 



As such, the Kenya Mission is oriented towards protracted emergencies and alleviating urban poverty.
 



Overview: The Field Coordinator is the most senior field person representing SIF Kenya at its field locations throughout Kenya, and is responsible for supervision and management of all program and support staff and activities in the field.




Specific Responsibilities
 



Under the supervision of the Head of Mission (HoM), the Field Coordinator is expected to deliver or do the following tasks, in addition to other duties as assigned …
 



Coordination with HoM


  • Liaise with UN agencies, government representatives, other NGOs, donors, and suppliers on behalf of SIF Kenya Mission and HoM at field level.

  • Provide verbal and written details of meetings with the above stakeholders.

  • Provide regular and detailed updates on field activities.


Coordination with Regional Office


  • Liaise with the Regional Administrator to ensure full compliance with all SIF and Kenya rules and regulations regarding human resources and finance.

  • Liaise with the Logistics Coordinator to ensure full compliance with all SIF and Kenya rules and regulations regarding procurement, other logistics tasks, and security.

  • Liaise with the Program Coordinator to ensure full compliance with all SIF and donor rules and regulations regarding projects.

  • Liaise with the M&E Coordinator to ensure full compliance with SIF and donor requirements for assessments, monitoring, and evaluation activities.


Supervision of Field Team


  • Manage the field administrators or finance officers, in coordination with the Regional Administrator.

  • Manage the field logistics officers, in coordination with the Logistics Coordinator.

  • Manage the field program team, in coordinator with the Program Coordinator.

  • Support the field M&E team, in coordination with the M&E Coordinator.


Kenya Mission


  • Assist the HoM to fully implement activities in Kenya in 2016.

  • Assist the HoM to develop the Kenya Mission for 2016 onwards.


Qualifications
 



The Field Coordinator is expected to have the following qualifications and competencies …


  • Minimum of a college diploma or university degree related to humanitarian aid work or emergency relief work. A certificate related to finance or logistics would be a distinct advantage.

  • Minimum of 4 years of field-level experience and minimum of 1 year of field coordination experience.

  • Prior experience in a developing country. Prior experience in an emergency context or highly insecure environment is a distinct advantage.


Skills
 



The Field Coordinator is expected to have the following skill sets …


  • Good interpersonal skills in all media and modes of communication, including professional appearance, attitude, and behavior.

  • Good ability to read, write, speak in English at a professional level, with a good knowledge of industry-standard lexicons.

  • Prior experience designing or implementing needs assessments, baselines, monitoring missions, or end-of-project evaluations. Preference will be given to experience related to protracted emergencies involving refugees and IDPs.

  • Good computer skills including MS Office suite.
