Reporting to: Finance Manager
Finance Officer Job Duties and Responsibilities
Perform all project and operating expense accounting and process financial documentation in regards to all the projects and posting of the same into the accounting system
Maintain current accounting files and records for projects and Programs obligations.
Provide professional guidance and advice to projects personnel on all regulations, procedures, and requirements as they apply to specific operating activities
Prepare the projects budget in collaboration with the project managers and project officers
Prepare and follow up on all advance requests
Ensure that all projects reports are prepared and sent to respective donors on time
Ensure that all the projects expenses for the preceding month are liquidated 100% by 15th of the succeeding month
Reviews proposed activity budgets for cost allowability, reasonableness, and accuracy
Monitors status of expired obligations and obligations nearing expiration and provide timely advice and analysis for decision-making
Prepares and posts upward and downward adjustments, as necessary, to accommodate exchange rate fluctuations
Ensure that the project staffs file their timesheet on time and close check with the Project managers that the record reflect the reality
Verifies that all transactions posted in the financial system are in conformance with the Generally Accepted
Accounting Policies(GAAP)
Ensure that all the projects legal expenses are filled on time without delay.
Performs the reconciliation between the TYB projects reported disbursements and those recorded by Donors and prepares the monthly reconciliation certification
Takes corrective action to resolve reconciling items in conjunction with the Finance Manager
Prepares journal vouchers with assistance of finance manager to correct double postings or to correct other payments erroneously reported
In coordination with the Finance Manager, documents policies and procedures governing the accounting function of TYB Projects
Any other duties as may be assigned by your supervisor
Desired Qualification for Finance Officer Jobs in Kenya
A CPA finalist is desirable or Bachelor of Commerce Accounting option
A minimum of four years of professional experience in project accounting and budgeting is required
Specialized training courses in USG accounting, and USG contracting is desirable and/or
On-the-Job-Training in USAID accounting policies and procedures, financing methods, cash management procedures, and computerized financial systems operations (procedures, requirements and conventions) and report generation required.
A thorough knowledge of professional accounting principles, theory, practices, and terminology with regard to accounting is required
