Supply Chain Manager Job in Nairobi, Kenya

Job Summary: The Supply Chain Manager (SCM) has the overall responsibility of understanding and forecasting the target sales of each outlet and thereafter assessing which products are required and/or have potential to be sold in each outlet and in what quantities, this is in cooperation with sales department and based on historic sales and warehouse data. 



 


Having understood this, the SCM will be responsible for procuring products of the appropriate quantity from suppliers for ultimate delivery to the outlets and thereafter ensuring that up to date stock records are maintained for each outlet and warehouse with the overall view of ensuring everything that is procured and supplied at the required time so as to keep cost of goods on company level to a minimum and cash flow flowing.

The SCM is also responsible for managing stock levels in warehouse and the outlets to avoid dead stock/over stock in both locations; this will require a keen attention to detail and analysis on sales, seasons, timely procurement and timely delivery.


The SCM must possess an excellent knowledge of the local Kenyan/EA trading market, to understand Kenyan and international distributors and manufacturers and establish and foster these relationships negotiating better purchase conditions and have awareness of the types of SKUs sold in base-of-the-pyramid outlets and be able to communicate with the shop managers in these outlets.


Duties, Responsibilities, Major Tasks & Process Ownership



  • Produce and submit RAG report monthly for all outlets showing current stock levels.

  • Produce RAG report for total COGs per month showing areas of improvement by lowering costs on a monthly basis.

  • Strict emphasis to be drawn on slow moving stock vs fast moving stock with overall objective of avoiding dead stock on shelves

  • Produce RAG report for total COGs per month with corresponding expiry date information clearly identifying areas of improvement by lowering costs on a monthly basis.

  • Undertake continuous analysis on outlets level in relation to product range required (new products/alternative products), quantities required and prices. 

  • Prior to releasing delivery to an outlet, review cash status report at the outlet to assist Finance department with cash control.

  • Establish, maintain and manage supplier relationships in order to ensure that products are purchased at lowest price possible in order to maintain good gross profit margins on sale of products.

  • Secure better credit terms, returns policy and consignment purchase with suppliers to assist company cash flow management on company level.

  • Purchase from the highest tier suppliers not middle tier suppliers (manufacturer, distributor, wholesaler etc). Therefore this role requires a good understanding of the Kenyan supply chain industry.

  • Ensure every product in stock inventory is recorded and entered in inventory management system with overall objective of physical stock corresponding to stock data in inventory management system at all times.

  • Avoid negative stock entries/negative stock data at any time.

  • Where possible, maintain central suppliers and also explore the idea of having the nearest supplier to the outlet.

  • Have an excellent attention to detail in relation to paperwork/record keeping for storage, procurement, delivery and stock tracking at all times.

  • Implement “first in first out” policy in relation to all stock movement at warehouse.

  • Implement, monthly expiry date check of stock.

  • Undertake key safety and security measures for stock movement out of warehouse, goods in transit and in the outlets to avoid any unnecessary costs.

  • Prepare monthly budget for department costs to be presented to immediate supervisor.

  • Monthly assess the cost of logistics with a view to lowering the cost on a monthly basis.

  • Maintain transport supplier contacts with options to avoid delays, unfair contract terms also constantly evaluate the need for the company to hire out or purchase a lorry.

  • Manage growing team of drivers and delivery staff and ability to handle disciplinary issues (monitor whereabouts constantly)

  • Work closely with Business Development Manager and Head of Regional Management in relation to Area Mapping and Regional Mapping of outlet locations to ensure effective/efficient distribution mapping

  • Maintain and update distribution timetable and route mapping.

  • Effective use of inventory management system to generate SCM documentation (LPO, delivery notes, good received notes, inter branch transfer notes, stock reconciliation reports etc).

  • Ensure truck maintenance requirements and log book records of truck mileage are submitted to Administration Manager monthly in accordance with company policy.


Minimum Qualifications & Critical Skills



Minimum Education, Diploma and Licenses


  • Completed secondary education with a preferred KCSE result of B+ plain or better A-Level equivalent.

  • University degree in Logistics, Procurement, Supply Chain.

  • Diploma in Warehouse/Store  Management



Critical Competencies and Experience


  • Must be able to communicate effectively, both in writing and verbally, in English and Swahili

  • Proficient with standard office software (incl. MS Word and MS Excel or equivalent)

  • Driving license

  • 5+ years work experience in stock management, logistics, cost control, retail procurement, operations or similar roles.

  • Must have experience in FMCG Sector

  • Experience in setting up a department in terms of structures, systems and policies will be important.

  • This position will be required to conduct field activities from time to time.
