Job Description: Front Office Executive
Main Accountabilities:
- Always wear smart official attire to represent the company at the reception.
- Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
- Answering telephones, directing, screening calls, taking and relaying messages.
- Providing information to callers, greeting persons entering organization and directing them appropriately.
- Maintains security by following procedures; monitoring logbook; issuing visitor badges.
- Maintains telecommunication system by ensuring proper operation of the switchboard.
- Maintains a safe and clean reception area by complying with procedures, rules, and regulations.
- Receives, sorts and distributes mail and deliveries.
- Keep the reception manned at all times and ensure backup when absent from the reception desk.
- Take and deliver messages accurately and completely.
- Provide general administrative and clerical support.
- Contributes to team effort by accomplishing related results as needed.
- Assist Helpdesk via the switchboard.
- Organize couriers and records for all couriers via stores on daily basis.
- Maintaining logs of the drivers and riders.
- Maintain & recording all documents delivered and the acknowledged receipts.
- To maintain daily call logs.
- Any other duty assigned.
Role related Qualifications/Skills:
- Diploma in Customer Service/ Front Office or Receptionist Techniques, or other related course.
- Customer service principles and practices
- Knowledge of administrative and clerical procedures
- Ability to work a switchboard
