Job Title: Human Resources Associate

Innovations for Poverty Action (IPA) is a non-profit organization dedicated to discovering and promoting effective solutions to global poverty problems. 



 


In close partnership with decisionmakers – the policymakers, practitioners, investors, and donors working with the poor around the world – we design and evaluate potential solutions to poverty problems using randomized evaluations, the most rigorous evaluation method available. 



We also mobilize and support these decisionmakers to use these solutions to build better programs and policies at scale.




In collaboration with over 250 leading academics and implementing organizations, we have results from over 175 completed studies with over 225 in progress around the world. 



Our studies cover solutions for effective agriculture, education, health, finance, governance, social protection, and post conflict recovery. 



We have over 1,000 colleagues in 11 permanent offices supporting 16 countries, where we conduct research and routinely consult with governments, foundations, NGOs, and others to present evidence that can inform their work.

The Human Resources Associate will report directly to the Human Resource Manager.
 



Duties and Responsibilities:


  • Processing and posting adverts

  • Assisting projects with the recruitment and placement and follow up on reference check of staff

  • Preparing, monitoring and renewing of staff contracts

  • Carrying-out induction process (on-boarding) for newly employed staff and the clearing process for outgoing staff as well as conduct exit interviews.

  • Supporting the gathering of all documents related to monthly payroll adjustments

  • Preparation of monthly staff payroll details and making all the appropriate deductions

  • Creating and updating staff details on replicon system

  • Updating and monitoring the adding and termination of medical benefits for incoming and outgoing staff.

  • Ensure that all new staff are immediately included in WIBA

  • Ensure adherence and compliance to the organization HR policies and procedures and also interpretation of current policies to new staff.

  • Request for payments for HR related activities.

  • Assisting the Human Resources Manager and senior managers carry out delegated tasks

  • Update all leave related days on replicon on a monthly basis ensuring that they are up to date.

  • Ensure that all staff on replicon fill in and submit their timesheets as required on a monthly basis as well us making follow ups with supervisors on timesheet approvals

  • Schedule and organize all interviews.

  • Update the staff database to ensure that all active and inactive staff are well captured and all relevant information regarding the staff are well updated and captured in this database.

  • Ensure that all new staff joining IPAK have a terrorist check done and this put on file for each staff screened.

  • Update all current forms that are outdated with liaison of the HRM

  • Coordinate and Consult with HRM/Senior Management on any disciplinary cases that have been brought to your attention.

  • Assist with the drafting of letters related to disciplinary issues


Qualification, Skills and Experience


  • Bachelor’s Degree in a related field with Higher Diploma in Human Resources Management.

  • Member of IHRM.

  • At least 3 years solid generalist experience in a busy Human Resources Department.

  • Sound leadership skills.

  • Proactive with excellent anticipatory skills

  • Effective analytical and problem solving skills

  • Effective interpersonal and communication skills
