Our client is looking to employ
an Operations Assistant to provide high quality executive support to
Chief Operating Officer (COO) and occasionally the Managing Director and
leadership team.
This individual is expected to
tackle new challenges in a fast-moving manufacturing environment across
different departments. In this role you will need to work well in a team
environment, be able to represent the manager/group with professional courtesy
and acumen and deliver flawless work out
Duties and Responsibilities
Operations
- Assist the COO to develop and implement strategies and
processes that maximize the productivity of the company's employees and
daily business functions. This includes creating templates and dashboards
that allow the COO to easily track departmental and individual KPI’s and
metrics, record and report on performance, ensuring operational
excellence. Within these templates and dashboards, the OA shall: - Ensure timely entry of data from source documents
- Compile, verify accuracy and sort information for data input
and output - Reviewing data for deficiencies & errors
- Correcting any data incompatibilities and checking out for
accuracy reasons - Work closely with senior management and department heads to
ensure project/program scopes and success criteria are clearly
established; develop and manage overall project/program plans to meet
deliverables. Manage cross-functional timelines and follow-up with team
members to ensure timely completion of tasks. - Oversee execution and delivery of all projects and programs
within span of program control. Create and deliver project and program
review presentations. - Work closely with Finance on translating operational
performance into financial performance. - Identify gaps and opportunities for an effective data
collection and reporting system as well as frequent internal and external
bench marking. Support the development and sharing of good practices
within the organization
Sales
- Together with the distributor, develop and or execute
Top-to-Top meetings, Joint Business Plans and promotional plans that will
address both consumer and trade needs. - Plan and execute trade audits ensuring no stock out, 100%
compliance to promotional plans and 5P’s. Identify gaps and opportunities,
and together with the COO and Distributor team create plans and strategies
to close gaps - Always ensure appropriate levels of inventory versus
sell-out. Ensure forecast accuracy/timeliness and communicate with Production
& Logistics to ensure no stock outs. - Provide input into advertising and media plans as may be
Import/Export
- Process all documents by validating data integrity and
accuracy. - Liaise with the accounts team to monitor and ensure
vessel/shipment related payments are made or collected in a timely manner. - Create, assemble, and present applicable export documentation
required per Kenya, and destination country specific requirements in
accordance with import and export laws and regulations. - Schedule and lead a document verification session with COO
prior to release of import/export documents. - Maintain import/export files in an organized and catalogued
system.
Requirements:
- Minimum of a degree in a business-related course preferred.
- Excellent knowledge of Microsoft Suite, particularly Excel.
Experience in a business work environment preferred. - Strong analytical skills and ability to develop meaningful
insights from data. Self-starting and able to adapt work priorities in
response to complex or changing environment. - At least 5 years of working experience in a high-pressure
environment. - Extensive knowledge of and competency in project management
methodology and processes, including planning tasks and allocating
resources, risk management, working in teams, issues management,
monitoring and reporting, and documentation. - Strong leadership skills and track record of driving projects
to successful completion. Highly developed problem-solving and negotiation
skills. - Excellent written and verbal communication skills.
- Must be proficient (written and spoken) in English, and
preferably, in Swahili - Ability to travel for long hours and frequently
This role will be based in
Nairobi. The candidate may be required to travel from time to time to Ukunda
(Kwale) for 1-2 week periods.
