Shelter Afrique is a regional Housing Finance Institution established by African governments and the African Development Bank dedicated to investment in housing and urban development in African countries.

The current shareholding comprises 42 African countries, the African Development Bank and the African Re-Insurance Corporation.

The institution, with its headquarters in Nairobi, Kenya, invites applications from suitably qualified individuals who are nationals of its member countries to fill the position of Personal Assistant.

The details of the position are provided below as follows:

The job holder is responsible for the coordination of activities in the MD’s Office relating to administrative, public relations, secretarial and support services in an effective and confidential manner.

Other specific responsibilities include:

Maintaining and managing efficient and effective communications channels between the office of the Managing Director; the Board Chairperson; other departments and external customers;Provide support in the organization and management of internal/external events by providing public relations support and related communication.Draft, both in English and French, routine correspondence and reports; proofread a wide variety of general and financial reports, letters, memos, specifications, and statistical charts, independently compose correspondence on routine administrative matters.Receive and screen incoming calls, visitors, correspondence and reports; handles routine matters personally and determines and forwards priority matters to the Managing Director or appropriate officers accordingly. In addition, oversee the prompt collection and delivery of incoming and outgoing mail to correct addresses.Maintain the Managing Director’s calendar and schedule of appointments. Liase with the admin office on the preparation of both local and international travel logistics for the Managing Director.In concert with the IT Unit, responsible for the day-to-day updating, editing and proofreading and posting material content to the Web-site.Monitoring the usage and traffic of website and compiling reports on the same.Bachelors degree in social sciences or equivalent qualification from a recognized institution of higher learning;Computer skills backed by high level proficiency in Microsoft office, computer keyboard operations, transcription and typing skills.Proficiency & fluency in both English and French languagesMinimum four (4) years relevant experience preferably gained in providing support to top executive and senior management.Terms of offer

Position Title: Director Corporate Services/ Company Secretary

Grade: D1

Reporting to: Managing Director

Overall Purpose

Responsible to the Managing Director for handling all the Company’s legal matters in close consultation Managing Director to whom he will also report directly on his day to day performance of duties.

In addition responsible planning, coordinating and implementing human capital and administration policies, strategies, systems and processes aligned to the strategic objectives.

Other duties include, management of administrative support services such as procurement and supplies, logistics and mail delivery, transport services, provision of insurance cover, health and occupational safety, security and disaster recovery as well as maintenance of equipment, machinery and office facilities

Core Duties and Responsibilities

Formulation of corporate policies and procedures in conjunction with other departments, for submission to the Managing Director.Provide all legal services on operations and finance mattersProvide Secretarial services to the decision making bodies of the Company (General Meeting and Board of Directors as well as any AGM and Board committeesReport on implementation of decisions and resolutions made by the AGM, Board of Directors as well as AGM and Board CommitteesEnsure general harmonization of communication channelsCoordinate relations with Directors, shareholders and governments of member countries as well as with authorities of the host country.Responsible for the day to day running of the Department of Secretariat, Conferences & DocumentationResponsible for overseeing the Human Resource as well as Administration functions through formulation of policies & strategies.Supervise the division of Conferences & documentation General planning, organizing and holding of AGM’s, Board meetings and annual symposia;The co-ordination, preparation and final distribution of documents relating to AGM and Board meetings as well as annual symposiaThe planning, organizing and coordination of all legal matters pertaining to the Company’s operations and activities;The implementation of institutional resolutions regarding all matters of agreements with the host country and the use of the official seal of Shelter Afrique.Organizing and carrying out the registration and custody of originals of agreements, conventions and contracts signed with states and organizations, including host country and ensuring observance of obligations and rights stipulated thereinMinimum Qualifications & Experience
Masters degree in Commercial Law (LLM) Business Administration (MBA), Economics or a related field plus. In addition, must possess LLB degreeMinimum ten (10) years experience in providing legal and company secretarial services. Exposure to commercial law in Francophone countries mainly OHADA rules will be an added advantage.Working knowledge of both English & French will be an added advantageComprehensive understanding of commercial law including legal and regulatory framework governing the regulation of financial sectorsStrong communication skills and ability to develop proposals, concept papers, position papers as well as write reports and prepare relevant publicationsFlexibility and responsiveness in providing high quality customer serviceProficiency in computer applications including word processing, spreadsheets, data base, presentation, email, internet etcAbility to deliver SHAF’s articulated vision for change, create a sense of urgency around change and motivates staff to join change effortsAbility to maintain professional status and keep abreast of evolving legal trends through continuing legal educationShelter-Afrique offers competitive salary and benefits package and a collegial working environment.

Job Description

Overall Purpose

Responsible to the Managing Director for the overall management of the Department. Plans, organizes and oversees the implementation of the Departments work program which mainly includes Business Development, Project management, Customer Relations, Market Development and new products Development.

Prepare lending programs for each country and supervise implementation through identification, preparation, appraisal and supervision of projects and programs. Core Duties & Responsibilities
