Reports To: Warehouse / Stock Officer
 Liaises With: Procurement and Logistics department and the other Departments
 Contract Type: Fixed Term (2 Years)
 Purpose of the Role: The Warehouse / Stock Assistant works in a team with the Warehouse/Stock Officer, Procurement Department and reports to the Warehouse Officer. 
The purpose of the position is to provide a variety of warehousing and stock management responsibilities which include receiving of goods, storage, and distribution of goods, commodities movement data management and warehouses management.The Warehouse / Stock Assistant will be required to liaise and work closely with the Warehousing Team, Procurement & Logistics Team and Programmes Channel Teams to ensure that the core objectives of MSK are achieved.

Designation: Senior Executive – Stock Management

Appointment: Local

Budget: KSHS 60,000 – 80,000

Functional Competencies:

Report variance between actual and planned stock levels at the locations.Ensure FIFO, ROL are maintained at the locations.Must report overages and shortages at the locations, considering the stock in hand, goods in transit and order placed, considering the lead times.Keep a daily inventory track and report anomalies in stocks to GM Accounts/VP Retail.Should maintain a record of all inter location transfers and 3rd party sales.Ensure perpetual stock count are done and forwarded to the reporting managers on time.Review the negative inventory reports of the locations, and identify gaps in conjunction with the location/business heads.Be team leader on Stocktaking and issue stock-take instructions  Bachelors in Accountancy or related discipline; 3 years of experience in Accounts; preferably FMCG / Retail sector;Proficiency in Procurement/ Accounting and Stock Controls with strong analytical skills; Excellent skill in Microsoft office;Possess a valid passport and be willing to travel across Africa.To apply:

Job Description

Maintains proper inventory accounting of customers’ product and manages all documentation for product in storage, product receipts and shipments out of the terminal to meet company policy and regulatory requirements.

Manages customer payments for services rendered by the terminal.

Organisational Position: Reports to the Customer Service Manager.

Result Areas

Product Inventory Control

Maintains proper inventory accounting of customer product and manages all documentation and control processes for product in storage, product receipts and shipments;Regularly independently checks and witnesses physical tank dipping for start up of operations and for product transfers in or out of the terminal.Verifies that measurement devices are maintained in good working order and are valid for use.Books into Tomcat level, density and temperature measurements obtained in the field.Checks accuracy of Tomcat system inventory calculations by carrying out manual calculations with reference to field measurements and valid tank calibration charts.Prepares daily inventory report showing loss / gain status based on difference between actual and book inventory.Investigates inventory losses / gains above the stipulated tolerance levels and proposes corrective measures.Prepares daily inventory report showing overall Terminal inventory and Customer inventory positions.Prepares periodical Customs Gate pass for Kenya Revenue Authority (KRA) approval.Prepares monthly inventory reports which include overall loss / gain, loss / gain trend, opening and closing stocks.Supply Planning

Assists the Customer Service Manager in the coordination of inbound and outbound product transfers in liaison with operations department, customers and third party customer service suppliers;

Reviews Kipevu Oil Terminal (KOT) berthing schedule to identify suitable dates for vessel nominations.Reviews Kenya Pipeline Company (KPC) mainline program to identify suitable time windows to schedule pipeline transfers.Customer payments and Accounts receivable

Receives payments from customers as required on the basis of pre-formulated customer agreements;

Books customer receipts and allocates receipts correctly against invoices.Prepares a Monthly aged debtors list and reconciles to the General Ledger.Prepares customer statements and account reconciliations for review and approval by Customer Service Manager.Documentation and record keeping

Maintains record of all relevant documents for Inventory Control and Accounts Receivable;

Physical tank measurement records.System tank inventory calculations.Tank calibration charts and certificates.Meter, Thermometer, Hydrometer calibration certificates.Tank reference level checks.Thermometer and Hydrometer checks against Master meters.Product batch specifications.Product loss / gain reports and investigations.Bills of lading for all incoming and outbound cargoes.Customer payments and receipts.Customer monthly statements.Reports, Communications and Social interaction

Maintains daily communication and contact to manage inventory and to fulfil customer orders

Roles and Responsibilities

Reporting to the Manager, Information Technology, the successful candidate will be responsible for:
* Monitoring, diagnosing and troubleshooting the computer network backbone.
* Analysing user requirements, procedures and problems in order to prepare effective network management plans.
* Strictly enforcing the implementation of anti-virus and file backup procedures to protect against loss of valuable data and information caused by hardware problems, virus attacks or destruction of computer files.

Purpose of job:to manage the control of Inventory of products from Suppliers. You will be tasked with the day to day procurement of products ensuring that all purchase orders are issued to Suppliers and that customer demands are met.

Applications are invited from suitably qualified candidates for the post of stock controller. The applicants should have the following qualifications and attributes. Please attach your testimonials and certificates together with your CV.

Qualifications
* Aged between 30 and 35 years
* Graduate who holds Bachelor of Commerce degree (accounting option) with at least CPA part 2
* Minimum of 5 years experience in a busy accounting environment preferably in stocks management.
* High degree of proficiency in computer applications for Accounting. Those with working knowledge of scala accounting system will have an added advantage.
* Must be able to work independently and meet strict deadlines.
* A person of integrity.
* Strong interpersonal skills and ability to establish strong working relationship with colleagues.

Responsibilities
The stock controller will be in charge of proper recording and reconciliation of all stocks in Nairobi and co-ordinating information and records of stocks from Branches. He/She may be required to visit Branches from time to time to assist in stocks management.

* Posting of local purchase GRDs
* Posting of overseas purchase GRDs
* Invoicing stock to Branches
* Raising LPOs to Branches
* Stock transfers within the stores (warehouses)
* Coding stock documents
* Issuing Credit Notes and cash sale returns for goods not received or good returned upon confirmation and duly authorized by respective BL’s
* Stock reconciliation (GL Vs Valuation)
* Monthly stock take
* Monthly stock reconciliation
* Annual stock take
* Annual Audit
