Job Title: Human Resources and Procurement Officer
Job Description
1. Run Monthly Payroll program for salaries and wages. Reports and related actions (new employee / exiting employees), print pay slips and distribute.
Troubleshoot with the payroll programmers any problems that arise, file all reports in relevant files etc. Send monthly report to Alexander Forbes on pension contributions.
2. Ensure all statutory requirements are in place for new recruits and old (if pending) i.e. NHIF, NSSF, PIN registrations, staff ID cards.
3. Handle AAR and JWS membership details, applications, claims, follow up on receipt of cards and re imbursements. Handle the renewal of medical insurances when the year ends.
Source for new quotations and providers. Arrange regular meetings with staff and medical providers to air out problems/ suggestions /new products etc.
4. Give a listening ear to all grievances and issues raised by staff, sort out the problems of any nature amicably/firmly. Handle all human resource related correspondence.
Assist and monitor all PAYE annual returns are correctly filled in by the staff.
Arrange to dispatch the same to KRA before the dead line date.
5. Maintain updated personnel files for current and past employees with copies of all letters, statutory registrations, contracts, medical application forms, pin and certificate of good conducts.
Maintain leave records.
Ensure annual leave for all administration staff is taken during the year so no carried forward leave without head mistress’ approval.
6. Respond to enquiries, and provide information if required from UNION or FKE etc.
7. Responsible for co- ordination with shop steward and union officials on matters related to auxiliary staff. Follow the CBA clauses accurately when handling the auxiliary staff.
8. Vetting all staff including coaches and extra staff for certificate of good conduct.
9. Acquiring and arranging staff houses for new recruited teachers from overseas. Follow the checklist in place.
10. Immigration application and procuring of work permits as per check list in place.
11. All job applications received checked and filed for future reference.
12. Staff leaving employment, do the recommendation letter, facilitate the exit from pension scheme. Notify the pension and medical scheme providers to delete the membership.
Notify bank if staff had loan based on salary.
The HR Officer reports to the financial controller and headmistress.
