COOPI – Cooperazione Internazionale is a relief and development organization founded in Italy in 1965. COOPI’s envisions a world without poverty where diverse cultures live together sharing equal rights and equal opportunities. COOPI’s mission is to reduce poverty in the global South through interventions of long-term sustainable international cooperation. COOPI also conducts advocacy activities in Italy, to fight the cause of the serious economic gap between the North and South.


COOPI is part of the Somalia Resilience Programme; an NGO led consortium piloting resilience based initiative in Dolow District, Gedo Region. The objective of this program is to understand the root causes of vulnerability in pastoral, agro-pastoral, peri-urban households and community groups in selected locations in order to enhance the resilience of communities through a focus on productive capacities.

Contract with initial probation of 3 Months


Location – Nairobi


Key Tasks


The position holder will be responsible for the administration, cash and accountancy of assigned projects


Financial Management


· Perform the expenses payment after verification of the regularity of documents and compliance with the Coopi procedures


· Keep Programme accounts updated and maintaining proper filing of all assigned projects’ documents after posting


· Monthly check of project and coordination documents according with the expenditures posted in the Merlino (COOPI Project Accounting information system)


  • Preparation of project financial reports and annexes according to donor requirements

  • Prepare monthly reconciliation of Cash and Banks of the projects

  • Preparation of budget amendments in liaison with the Project Manager

  • Participate and assist in project budget planning and development

  • Preparation of funds request list for submission to the RA in good time

  • Ensure that funds are transferred to the field administrators in good time for payment of filed project expenses according to the cash request for the month as approved by direct project manager and in accordance to COOPI procurement procedures

  • Working closely with Program manager to facilitate payment of salaries for Field staff whose salaries are charged to the project which the administrator is managing

  • Ensure that all payments to consultants are effected in good time and follow the COOPI procurement procedures

  • Supervision and monitoring of all the administrative aspects of the Programme in the field (contracts in the field, request for quotations, purchase orders) in liaison with the Logistics Dept. and Programme Manager

· Preparation and follow up of projects’ audit from time to time as may be requested


Work relation


· The Program Administrators will work closely with the Program manager and Field Administrators/District team leaders in Somalia


· The Program Administrator will supervise one Program Assistant


Qualifications & requirements


· Minimum of a Bachelor’s degree in Business Administration and or Management or related field,


· Must have Basic Accounting Skills


· Must have knowledge of MS Office applications (Outlook, Word, Excel and PowerPoint) as well as ability to use internet


· Excellent communication skills in English, both written and verbal


· Must be responsible, hardworking, innovative and a team player, as well as be able to work with minimum supervision


Experience:


· At least 2 years of relevant working experience in the field of Project administration with INGOs managing grants from International Donors (CHF, Somrep, Unicef, ECHO)
