Registrar Responsibilities
This position consolidates the activities involved in recruitment of students, admissions, enrolment, managing student academic records, production of transcripts and Convocation.
The incumbent is also responsible for student experience on the Kenya campus providing high quality, student-centred professional support services to meet pastoral needs of students.
Principal duties include:
Recruitment and Admissions
provide input, as required, for advertisements, posters and related marketing material for student recruitment.
attend educational fairs, as required, to market the University’s educational programmes in Kenya
responsible for the application and admissions processes for the University’s academic programmes in Kenya
act as Secretary to the School of Nursing and Midwifery’s Kenya-based admissions and progression committee and send offer or rejection letters to candidates as directed by the Committee
maintain and record admissions data using the Aga Khan University’s Student Information and Administration System (AKUROSS)
produce recruitment reports and submission documents in a timely fashion for the Office of the Registrar and relevant University committees.
Registrarial functions
maintain student records including; enrolment, grades and transcripts, using AKUROSS
compile, maintain and track the student academic information and records for students in Kenya-based programmes
finalise academic calendar and term timetables
present student performance reports to the Academic Head, Kenya for inclusion in reports that will be made to the School of Nursing and Midwifery, East Africa’s Academic Council
maintain student attendance records and report any issues to Academic Head for appropriate action
prepare verification of attendance / graduation and confirmation of enrolment letters for students as requested
in conjunction with the University Registrar, coordinate the Kenya convocation ceremony
maintain a database that will enable the University to track its alumni; working closely with the Senior Manager, Alumni Affairs, enhance the University’s relationship with its Kenyan alumni and organise alumni related activities.
Quality Assurance and accreditation related duties
retain individual student portfolios of assessed work for quality assurance purposes
support the Academic Head on implementation of University, NCK and CUE guidance, policies and regulations
undertake any other duties in relation to the University’s accreditation with external organisations in Kenya.
Student Orientation & Coordination of Student Activities
plan and coordinate Orientation activities for new students
ensure that students are informed about the University’s academic policies
working closely with the Senior Associate University Registrar and Director of Student Experience, develop an annual proposal for extra-curricular activities to
be shared with the HEP, prior to implementation
coordinate with Student Representatives for organising end-of-term parties and other social activities.
Requirements for Registrar Jobs in Kenya
Candidates should have:
honours degree as a minimum, preferably a Master’s degree
experience of working within the Kenyan post-secondary education institution, the Kenya Nursing Council and Council for University Education in a similar position
experience of academic record keeping and management, as well as of student recruitment and University admissions processes within Kenya
proficiency in written and oral English with good communication and interpersonal skills
detail orientation, organizational skills and ability to work both independently and as part of a team
ability to handle multiple tasks and meet conflicting deadlines in a timely fashion and with accuracy
proven record of good administrative and organisational skills
experience of working with PeopleSoft Campus Solutions would be an asset.
