Document Management Solutions - Business Development & Project Manager 

Reports to: Senior Manager, Business Development & Corporate Communications

Division: Document Management Solutions

Location: Mombasa Road and Bruce House

Main Purpose of the job: To coordinate document management solutions activities/projects and related business development initiatives.

Areas of Responsibilities

Business Development

To formulate the company’s marketing strategy-Document Management Solutions;To conduct sales strategy, planning and development- Document Management Solutions;To conduct the appropriate administration, budgeting, monitoring, reporting, communication and liaison activities in the DMS department;To plan and prioritize the sales activities and prospect contact towards achieving agreed business aims;To maintain and develop existing and new customers through appropriate propositions and ethical sales methods, and relevant internal liaison to optimize quality of service, business growth and customer satisfaction;To respond to and follow up on sales enquiries using appropriate methods;To record, analyze, report and administer sales according to systems and requirements;To facilitate market research as appropriateTo ensure self-development and continuing personal development;Monitor and appraise any staff reporting directly to this position; andOther duties as assigned by the Senior Manager.Ensures DMS projects adheres to budget allocated;Attends project meetings with clients and advices on best records management strategies;Monitors and appraises all project staff directly reporting to this position;Develops project management policies and procedures for DMS divisionAssists in development of records management policies and procedures;Assists in Development of document handling policies and procedures;Works with the Senior Manager to develop a consultancy product for the DMS divisionReceive, appraise, categorize, preserve and describe company historical records’ collection to make the records accessible for business requirements and historical research needs;Work with the Senior Manager to make decisions on the value and use of historical records and how best to arrange them for future access;Works with Senior Manager and DMS division team to implementation of the document handling policies;Create a strategy to select, scan and index documents and photographs for a content management imaging system;Advise on the most competent archiving and records management practices for the company;Prepare and direct preparation of documents description and reference aids for use in archiving such as accession lists cross indexing of documents in both chronological or alphabetical order, and indexing guides;Conduct in-house training on the document management software and related best practices practiced elsewhere;Provide assistance in any business goals of the company to offer the archiving and records management services commercially;Assisting the Sales & Marketing Department by providing technical input for sales pipeline development and generation.Any additional duty that may be assigned by the Senior Manager.Responsibility: Develop medium and long term business development & operations strategies for DMS Division

Requirement(s)

Qualifications (Academic)

The Independent Electoral and Boundaries Commission (IEBC) is established under article 88 of the Constitution of Kenya with the mandate of conducting or supervising referenda and elections to any elective body or office established by this Constitution, and any other elections as prescribed by an act of Parliament.

Other duties include delimitation of electoral units, registration of voters, regulation of political parties, voter education, settling of electoral disputes and modernization and reforming of electoral processes and systems.

IEBC ensures that elections are credible, transparent, free and fair. It is committed to upholding national values and principles of good governance and democracy.

Laboratory Systems Strengthening Project

Management Sciences for Health (MSH) is a nonprofit international health organization with a mission to close gap between what is known about public health problems and what is done to solve them particularly in developing and transitional counties. Headquartered in the United States, we have operations in more than 30 countries and employ staff from over 60 nations globally.

The MSH Kenya Laboratory Systems Strengthening Project calls for Expression of Interest from individuals with expertise in the following technical areas;

Capacity Building

Interested individuals will demonstrate their ability to provide short term consultancy services in selected capacity building activities. Extensive relevant capacity building expertise, knowledge, competencies, and experience in the following areas is required;

Strategic planning development processPlanning and Budgeting for district level public health and laboratory servicesGrant Proposal Development and Management for health service deliveryScientific Writing for sharing scientific laboratory information at international conferences and Publishing in peer review journalsDocument Editing

The project calls for interest from qualified and interested individuals, or organizations with a pool of seasoned document editors to provide editing services for a series of Health / Medical related documents, materials and technical reports for use at various health settings.

The primary responsibility of the editorial team will be to edit documents such as guidelines.

The editor is also required to index the content, layout the table of content, layout the appendices and annexes and may be asked to review figures and tables and captions in the material to prepare the draft for publication/ printing.

The eligible vendor will be required to furnish samples of their recent work; recently edited or published health / medical related documents / books.

Mapping of Medical Laboratory-Related Attributes

The project calls for expression of interest from qualified Surveyors who must be registered with the Institution of Surveyors of Kenya (Land Surveyors’ Chapter) and have knowledge and experience in the application of GPS technology.

Interested individuals for all areas of interest are required to submit their detailed letter of motivation, curriculum vitae, current company profile (if applicable) with names and contact information of the company’s technical team (telephone and e-mail address).

If available, information on similar projects undertaken by the individual/company in the recent past can be included in the application.

This expression of interest does not guarantee availability of short term consultancy or work. Detailed scopes of work will be provided as and when appropriate in the selection process.

Eligible vendors may be invited to undergo competitive selection that may include making a presentation and provide samples before the final selection.
