Job Title: Administrative Assistant
Organization: Japan Center for Conflict Prevention (JCCP)
Duty Station: Nairobi, Kenya with possible travel to Somalia
Report to: Finance and Admin Officer
 Contract Duration: Renewable with satisfactory performance (3month probation)
Starting Date: 15 January 2013
Under the direct supervision of Finance and Admin Officer, Administrative Assistant is responsible for the following duties and responsibilities;
 Perform day-to-day accounting processes and procedures.Prepare and process daily payment in cash in a timely manner.Ensure that office premises are rented and insured at reasonable price in accordance with the needs and the donor budgets.Ensure timely, appropriate and cost effective maintenance of office premises, in coordination with Finance & Admin Assistant.Ensure the effective delivery of the logical support to the JCCP office in Kenya, and provide necessary support for other JCCP offices in Somalia and South Sudan.Contribute for developing logical system at the JCCP office in Kenya.Ensure that the computer systems works properly within the JCCP office in Kenya.Ensure the smooth running of all IT systems, including printing, scanning and email communication.Qualifications and experience requiredAcademic background: a college diploma or higher in Finance/ Business Administration/ Procurement ManagementMinimum 2 years of working experience in finance/ administration/ procurement/ logisticsExcellent communication and interpersonal skillsHigh level of computer literacy i.e. MS Word, Excel, Access, etc.Demonstrated record of working in multi-cultural environmentAbility to prioritize the assigned work under the multiple-task environmentFluency in EnglishQualified candidates are invited to submit their applications with curriculum vitae, three references, contact details, and expected salary to kenya@jccp.gr.jp no later than December 31st 2012.

Background

Peace Winds Japan (PWJ) is an INGO, dedicated to the support of people in distress, threatened by conflict, poverty, or other turmoil. With its headquarters in Japan, PWJ has been active in various parts of the world.

From March 2012, PWJ launches a new SHELTER project in Dadaab Refugee Camp, North eastern Province, Kenya.

Principal responsibilities

Ensuring administrative functions are in a prompt mannerMaintenance of office and PWJ propertiesMaintenance of financial accountability of PWJ programmeMonitoring of overall implementation process of projectsUpdating all administrative documents in the officeEnsuring necessary welfare provided to staffSupport in all aspects of human resource managementEnsuring incoming and outgoing messages/packages to be deliveredRegular checking of PWJ properties (inclusive of stock control)Assisting check payment, acting bank transaction, collection of receipts, coding items and checking of voucherPreparation of Monthly Financial ReportPreparation of Monthly salary sheet, ensuring the appropriate paymentKeeping receipts, records and all administrative and financial files in a safe placeAssist any required matters instructed by supervisorKnowledge and experience required
Sufficient experience and knowledge in humanitarian work and the administrationComputer literate (Word.
