Job Description
Our client is seeking to recruit a Group Executive Personal Assistant.
The incumbent must have exposure working in a group company.The role is based in Nairobi with constant travel in Kenya and within the larger African region
Roles & Responsibilities
Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
May be required to travel with the Group CEO
Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
Complete projects by assigning work to clerical staff; following up on results.
Maintain customer confidence and protects operations by keeping information confidential.
Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
Manage the day-to-day operations of the office
Organizing and maintaining files and records
Plan and schedule meetings and appointments
Manage projects and conducting research
Prepare and editing correspondence, reports, and presentations
Making travel and guest arrangements
Providing quality customer service
Working in a professional environment
Contribute to team effort by accomplishing related results as needed
Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
Requirements
Must have at least 10 years’ experience in a similar role in a very busy work environment
Must have supported Executive members of staff.
Should have a Bachelors degree in Administration or a Diploma in Customer Service or Front Office Management
Must have exposure in a group holdings firm
Experience supporting key Executives within Africa and beyond is highly desired
Must have exemplary Customer service skills
