Role
Reporting to the Operations Manager, the Office Administrator will manage office administration activities, finance and human resource duties. This is an integral role within the Echo Mobile team and requires a candidate who takes initiative, is detail-oriented and interested in working in a dynamic startup environment.
Office Admin Job Responsibilities
Include but are not limited to:
Manage day-to-day office operational and administrative functions including receiving and relaying telephone calls and directing general enquiries to the appropriate staff member, purchasing stationery and supplies, coordinating delivery or pickup of mail and cheques, and supporting other office efficiencies such as keeping office environment organized.
Generate and prepare monthly invoices from the backend of Echo Mobile platform. Track invoices and bills through the accounting system and invoice tracker.
Follow up with clients to ensure timely payments. Process ETR and relevant receipts.
Manage Echo’s online record keeping processes including functions related to client database management such as contract renewal and tracking.
Coordinate financial processes with Echo’s outsourced accounting including payroll, reimbursements, expense reporting, and tax compliance matters.
Manage HR functions such as leave record keeping, staff benefits management, assist in developing HR policy manual, planning staff activities and events, etc.
Occasionally provide Echo Mobile software support to clients on telephone, email and live chat.
Assist in the planning and preparations for client meetings and training events.
Work with User Support Specialist to post about Echo Mobile on social media outlets.
Requirements for Office Admin Jobs in Kenya
The candidate should have the following qualifications:
Minimum of a Bachelor’s degree in any of the following fields: business administration, finance, accounting, economics, human resources, social sciences
3+ years integrated experience in managing finance/accounts, human resource, and administrative duties in a busy office environment
High proficiency in computer and web-use with experience in using computerized accounting or database systems
Ability to work independently and accurately
Proactive individual who takes initiative in improving systems and processes
Impeccable attention to detail and time management skills
Excellent communication and interpersonal skills
Certification in accounting or human resources from a recognized institution a plus
