Job Overview
The Operations Manager is responsible for the effective and efficient execution of the stores, production and logistics function. He/she should ensure safety in storage and the production areas; timely handling of all tasks and precise adherence to the company’s laid down policies and procedures.

Operations Manager Job Duties & Responsibilities

Being the Operations Manager, you are Directly Accountable for;

Stores Management

Ensure that issuance of stock and receiving of stocks is conducted as guided by the operating procedures.

Ensure proper records on all activities are maintained. This includes but not limited to: Bin cards, GRNs, Registers & Tally record.

Ensure that any delays in purchases are eliminated by keenly following up on approved requisitions made.

Liaise with the Sales Manager to constantly keep him aware of non moving stocks, stocks that are likely to run out, stock items that are about to expire, sample items and any challenges being faced.

Ensure that the store is always well arranged and neat.

Ensure that stock take is done once every quarter and prepare a stock take plan and ensure that it is followed to the letter.

Conduct random stock checks and analyze any discrepancies.

Ensure security of the stock and the stores area by limiting access by unauthorized persons.

Production Management

Ensure adequate staffing of production department so as to ensure timely execution of projects. In event of shortages, liaise with the HR Office to get casuals.

Ensure safety of all staff in the production area by ensuring that protective gear is utilized at all times.

Ensure a proper record of each production staff man hours is maintained and records sent the HR office on the last day of the month.

Ensure proper records of movement of stock items from store to production and back is properly maintained.

Ensure that the production area is maintained clean and neat at all times.

Aggressively ensure that the production team works swiftly to meet client deadlines and explore all options to ensure that tasks are completed within stipulated time.

Liaise with the marketing team to ensure that there is understanding between the two departments thus guaranteeing smooth flow of activities and proper communication to the client.

Transport and Logistics

Ensure that deliveries and done to clients within the stipulated timing.

Assign vehicle/ bike to driver based on expected product load

Maintain a schedule of vehicle servicing.

Manage and maintain a well motivated transport team.

Ensure safety of vehicles and their cleanliness is maintained.

Administration

Manage and maintain a highly motivated team.

Conduct performance appraisal of employees in the department in liaison with the HR Manager.

Participate in any changes required in ensuring that the companies policies and procedures are relevant to the operation.

Perform other related duties or assignment as directed.

Academic Qualifications for Operations Manager jobs in Kenya

MBA will be added advantage

Bachelors Degree in Business or Finance

Business Acumen

Prior experience is a busy commercial environment
