Job Description

Jacaranda Health is seeking a receptionist/cashier for our first mobile maternal health clinic in Nairobi.

The clinic reception role will be responsible for coordinating all aspects of patient visit.

The receptionist will receive patients into our mobile clinic locations (typically church halls or
schools), triage patients with emergencies, record and register patients electronically, and then
receive payment for medical services.

The receptionist will also help set-up the mobile clinic each day, and possibly help drive the van to our community locations.

This role is critical to Jacaranda’s goal of delivering quality customer service and maintaining
superior patient satisfaction. We seek someone who is organized, flexible, personable, and has

Duties and Responsibilities

Receiving and handling clients of the clinic. Managing optimal order of patient visits based on patient emergencies, type of patient visit and order of clients in line
Maintaining a customer-friendly reception and waiting room area
Receiving payments of clinic fees from clients
Assuring patients’ medical and service needs are met. Monitoring patient service feedback and resolving complaints and service issues
Arranging patient transfers and referrals to other clinics
Managing purchases for mobile clinic (water, fuel for van, etc) and managing clinic cash control systems
Entering clinic data into our medical records system, inventory tracking, and billing/payment systems
Coordinating delivery of lab samples to laboratory partners
Receiving and entering lab results for patients from external lab partners
Assisting with set-up of the mobile clinic each day (requires some lifting, organizing, organizing, and stock-taking).
Transporting team in our mobile clinic van to clinic location each day

Desired Qualifications

The desired candidate should possess the following:

Diploma in Business Administration/Management, Secretarial studies or any related field from a recognized institution
Good understanding of front office management
Excellent oral and written communication skills and ability to communicate effectively with clients and with the team
Ability to build good rapport with clients and be extremely calm, courteous and friendly at all times, in particular in emergency or difficult situations

Reports to: Management Accountant Kenya

Main Purpose of the Cashier job

Manage all cash receipts from Direct Distribution sales & cash sales ensuring safe custody, timely banking and accounting for the same on a daily basis. High level of integrity, honesty and business acumen are key to this position.

Main Responsibilities For The Cashier.
Receiving all Cash from the Salesmen on a daily basis and circulating the Daily Sales report
Safe keeping of cash collected and ensure the same is banked and posted into the system
Computing Theoretical sales value and comparing the same with cash returns per salesman and informing management on Salesmen shortage on daily basis
Random physical stock take for 2-3 salesmen each day and circulating the expected and actual sales returns for these salesmen
Reconcile salesmen shortage with all the salesmen on daily/weekly and monthly basis as required
Ensure all the Direct Distribution Customers accounts in Kenya are reconciled with respect to accuracy and completeness of transactions in liaison with AR Accountant
Ensure all incoming payments are posted to the respective salesmen’s accounts
Ensure proper filing of all delivery notes used on additional stocks / cash sale documents to / from the salesmen
Weekly verification of physical stock counts and ensuring record of the same is duly signed by all parties (Warehouse, Finance, Security & the respective Sales person) for all the Salesmen. A copy of this document must be kept by the Cashier for record

Our Finance Department is looking to fill the following 3 positions.

Cashier

Reporting to the Treasury Accountant, the Cashier’s role is to ensure an error-free cash register operations, payment processing, and interactions with customers.

Key Responsibility Areas include:

Receipting all amounts to the cash book for annual policies;Preparing for banking all cash and cheques received in hand over to treasury for banking;Updating Branch Banking for Branches;Reallocation of receipts to policy holders accounts daily;Confirming and receipting all MPESA payments to the policy holder’s accounts;Assisting the credit control function in correcting errors and omissions on a timely basis;Any other roles that may be assigned from time to time;The right candidate must have the following:
At least CPA IV qualification or equivalentPrevious work experience in a busy accounting department.Good communication skills.Time management skills.Organizational skills.Has attention to detail.Good working knowledge of MS ExcelGood working knowledge of Pastel accounting software will be an added advantage.Accounts Assistant

Reporting to the Credit Controller, the Assistant Accountant’s role is to ensure accurate and timely invoicing of premium and receipting of funds received by the company.

Key Responsibility Areas include:

Ensuring interest is charged as per RHEAL’s credit tariff;Banking and Receipting of all amounts in relation to the IPF policies;Ensure effective communication with the bank and clients both internal & external;Ensure customer premium payments and penalties are up to date;Reconciliation of IPF accounts;Providing reports on: dishonoured payments, total premium financed in a month, interest earned, declined IPF requests, Financing done outside RHEAL IPF;Indexing and safe custody of all IPF PD cheques;Maintaining a monthly financing and banking schedule for all IPF banking;Resolving customer’s complaints;Bounced cheque control:Communicating suspension and reinstatement of members who bounce cheques;Reversing bounced cheques and re-banking;Charging bank charges on policy holder’s account ensuring it’s collected;Processing Credit notes and Premium Refunds for IPF business;Proper Filing of records related to RHEAL credit;Any other roles that may be assigned from time to time;The right candidate must have the following:
Two year work experience as an accountant in a busy accounting department.At least CPA IV qualification or equivalentGood communication and situation management and problem solving skillsTime management skillsHas good organizational skillsAnalytical skillsGood working knowledge of MS ExcelGood working knowledge of accounting softwareAccounts Assistant – Premium Management

The Accounts Assistant role is to ensure accurate and timely invoicing of premium and receipting of funds paid by individual members and families.

Key Responsibility Areas include:

Accurate and timely processing of Individual business as per RHEAL premium tariffs and business rules in regard to premiums and other client charges;Assign correctly broker/ agents to policies for individual business;Ensure that premium is fully paid before processing business to underwriting;Prorating short term covers and additional member’s policies on Actisure for Individual;Answer to queries relating to individual business from the production report;Assisting the credit control function in correcting errors and omissions on a timely basis.Credit notes and Premium Refunds for individuals and corporate;Any other roles that may be assigned from time to time;The right candidate must have the following:

FOSA in Charge Ref No 003-10-2010

Overall Purposes of the Job:
The FOSA in Charge shall be responsible for effective and efficient planning, coordination of the FOSA unit operations, supervision and provision of quality delivery of Financial Services to Customers.

Key Responsibilities
* He/she will be in-charge of day to day running of the Front Office Service Activity (FOSA) including and not limited to,
* Management of the Treasury Operations and working capital,
* Preparation of Daily Cash flow projections and payments for approved Loans to members,
* Maintenance of accurate records of Savings Accounts and members’ loan repayments,
* Preparation of monthly amortization schedules and disbursement reports to the management,
* Preparation of monthly and annual performance reports,
* Carry out periodical reviews, monitor and advise management on business and investment matters.

Knowledge and Skills
The successful candidate must have a
* Business or Commerce related University Degree with Accounting/Finance & Banking bias with five (5) years experience or Diploma in Accounting/Finance Banking with experience of eight (8) years and a track record of effective performance.
* A Diploma in Credit Management will be an added advantage.
* He/she should have good interpersonal, marketing and communication skills, be ready to work in any part of Kenya and be computer literate.

Teller Ref No 004-10-2010

Overall Responsibility
Reporting to the FOSA In-charge, The Teller shall be responsible day to day operations of the FOSA

Key Duties and Responsibilities
* Daily operations in Front Office Services Activities
* Handling of Cash Payments and Receipts
* Keeping Proper and complete records regarding FOSA transactions

Minimum Qualifications
* Professional qualification in Accounting (CPA II, ACCA or equivalent) or Diploma in Cooperative Management
* Minimum 2 years working experience as a FOSA cashier
* Unquestionable integrity
* Customer focused
* At least 25 year and at most 30 years old

System Administrator Ref No 005-10-2010

Overall Responsibility
Reporting to the SACCO Manager, System Administrator will be responsible for handling information and communication technology matters in the SACCO. He will be responsible for the liaison with the software vendors, computers, printers’ suppliers or any other technology related areas in the SACCO.

Key Duties and Responsibilities
* Routine maintenance on ICT equipment
* Ensure genuine and adequate repairs are carried out when necessary
* Assist individual staff in implementing information technology plans
* Observe information technology policies, procedures and standards
* Knowledge of FOSA systems and operations.
* Providing daily reports for decision making

Minimum Qualifications
* Diploma in Information Technology or related certifications
* Basic qualification in Accounting
* Minimum 2 years experience in ICT systems
* Networking qualifications
* At least 25 years and at most 40 years old
